KPSNA Community App — Privacy Policy

Last updated: September 12, 2026 · Applies to the KPSNA Community App (iOS and Android) during alpha/beta testing.

This is a draft, in effect for the alpha/beta testing phase only. It has not yet been reviewed by legal counsel and does not make any claim of compliance with a specific law or regulation. Before the app is released publicly, this policy will be reviewed for applicable requirements (including Canada's PIPEDA and relevant U.S. state privacy laws) and updated as needed.

KPSNA Charitable Foundation ("KPSNA," "we," "us") operates the KPSNA Community App, a member directory for our community. This policy explains what information the app collects, how it is used, who can see it, and how you can request a copy or removal of your information.

What we collect

Information comes from two places: the details your household provides to KPSNA (stored in our membership database, Salesforce), and a small amount of technical data the app itself needs to operate.

CategoryExamples
Identity & contactName, mobile phone number (used to sign in), home phone, email address
HouseholdAddress, city, state/province, native place (Gaam), relationship to head of household
Profile (optional)Birth year, occupation, highest qualification, gender, LinkedIn URL, a household or personal photo, additional notes
App usage (technical)Device identifier and sign-in sessions (so you can manage which of your devices are signed in), your own directory search history (kept only on your device, never sent to us), and a record of directory searches performed through the app (see "Search activity" below)

How we use it

Solely to operate the member directory: to verify you are a member, to show your household's information to other members according to the privacy settings you choose, and to let you find and be found by other members and households.

We do not sell your information, and we do not use it for advertising.

Who can see your information

Only signed-in KPSNA members can use the app. Within that, you control most of your information's visibility through in-app privacy settings — mobile phone, home phone, email, occupation, LinkedIn URL, birth year, and your photo can each be set to visible-to-members or private. Your name, city, state, and native place are always visible to other members, the same way they would be in a printed community directory, and cannot be hidden individually — if you don't want to appear at all, you can mark your household unlisted in settings.

Household members under 18: a minor's contact details are never shown outside their own household, regardless of any other setting, and no one under 18 is issued their own app sign-in — a parent or head of household manages that information on their behalf.

Search activity

When you search the directory, the app keeps a record of what was searched and by whom, for security and abuse prevention (for example, detecting an account being used to scrape the whole directory). This record is kept for 24 months and then automatically deleted. It is accessible only to KPSNA's administrators, every access to it is itself logged, and members are told about this in the app.

Where your information is stored

Membership information is stored in Salesforce, our membership database. The app itself is hosted on Google Cloud Platform and uses Firebase (a Google service) to handle phone-number sign-in and secure the app's own operational data (device sessions, your privacy preferences, pending profile-change requests). We do not currently use any advertising or analytics service that receives your personal information.
